TERMS AND CONDITIONS:

RULES AND REGULATIONS FOR THE 43RD ANNUAL BARDSTOWN ARTS & CRAFTS FESTIVAL:  Please read and agree to all rules before application is submitted.  Returning vendors with applications submitted on time will get their first choice of location to the best of our ability. 

Your exhibition booth shall be only in the space designated for the craft areas.  We ask that all chairs, boxes, and tables be kept on the street and out of the front yards of residents as well as sidewalks.  We will ask you to move!  All booth spaces will be marked 10×15 so please stay within your allotted space.  If you have multiple booths please be aware of where your space begins and ends.  One incorrect booth space will throw all other booth spaces off. 

Setup may begin on Friday, October 11th STARTING AT 5 PM for all areas. Please unload your vehicle, park vehicle, and then return to your tent to set up.  This keeps the roadway free for all to unload. You may continue to setup your booth after that point.  If you are unable to setup on Friday, October 11th, you may set up Saturday, October 12th starting at 6 AM.  Please unload your vehicle, park vehicle, and then return to set up your tent. ALL BOOTHS MUST BE TOTALLY SET UP BY 8:30 AM SATURDAY.

Cars are to be removed by 7:30 AM on Saturday.  NO VEHICLES are to remain behind booths during craft festival.  ALL vehicles must be moved by 7:30 AM Saturday.  No vehicles are to be inside of the craft festival area from 7:30 AM Saturday through 5 PM Sunday. 

No vendor may assign, sublet, or apportion any part of their space without prior approval from the Bardstown Main Street Program.  All merchandise must be displayed on tables, display racks, freestanding on the grass, etc.  Absolutely NO sale of merchandise from storage containers such as cardboard boxes, garbage bags, etc. will be tolerated.  The neat professional look is the desire of the committee.  All tables must be covered.  If you store merchandise under tables, this must be concealed, preferably with tablecloths to the ground.  If merchandise containers are visible, you will be asked to cover or remove them from your booth.  Your compliance with this rule is appreciated.  

Overnight security will be provided Friday and Saturday nights but we do ask that you put all merchandise under your tent and lower your tent legs down. Please have your legs weighted.

NO BAKE SALE ITEMS will be permitted during the fair (Exception: those who have contracted food booths).  Vendor personnel must manage booths during the operating hours of the festival.  

NO LATE OPENINGS.  NO EARLY CLOSINGS.  NO EARLY BREAKDOWNS.  NO EXCEPTIONS.  

THIS WILL BE ENFORCED AND VENDORS THAT DO NOT FOLLOW THIS RULE WILL NOT BE ACCEPTED NEXT YEAR. PLEASE BRING ENOUGH PRODUCT FOR BOTH DAYS. IF YOU HAPPEN TO SELL OUT YOU ARE TO REMAIN AT YOUR BOOTH FOR THE ALLOTED TIME OF THE EVENT. YOU ARE NOT TO BREAK DOWN YOUR BOOTH EARLY!

WE WILL NOT ACCEPT APPLICATIONS FROM PREVIOUS VENDORS THAT HAVE SHOWN UNNECESSARY BEHAVIOR TOWARDS OUR STAFF OR VOLUNTEERS. WE PUT IN COUNTLESS HOURS AND LATE NIGHTS TO MAKE THIS THE BEST AND SAFEST EVENT AND WILL NOT TOLERATE THAT BEHAVIOR. We expect our rules to be followed by all Vendors.

The premises shall at all times be kept clean, neat, and presentable.  The booth shall be completely cleaned and closed beginning at 5 PM on Sunday, no earlier.  All areas after teardown will need to be swept and free of garbage, zip ties, string, etc.…  Your booth area must look the same as it did before setup or you will not be asked back in the future. EARLY SHUTDOWN IS NOT PERMITTED.  Those that leave without permission will be prohibited from exhibiting at the fair in the future.  

FESTIVAL HOURS:  Saturday 10 AM – 6 PM, Sunday 10 AM – 5 PM

Please note this is a 2 day event.  NO LATE PAYMENTS WILL BE ACCEPTED AFTER JULY 31ST. NO EXCEPTIONS. YOUR SPACE WILL BE GIVEN TO A WAIT LISTED VENDOR ON AUGUST 1ST. No booth refunds after September 30th.  Vendors will be notified as soon as possible prior to festival with booth assignments and setup information. 

The Bardstown Main Street Program has made the arrangements for this exhibition, but assumes no liability for any loss or damage of merchandise or injury because of the same.  You, as the exhibitor, assumes that responsibility and understand that the Bardstown Main Street Program shall recover from the indemnification for any loss that the Bardstown Main Street Program shall incur because of your exhibition or your conduct. 

It is the responsibility of the exhibitor to safely secure their tent and exhibit from weather.  ALL TENTS MUST BE weighted on each leg with weights (Recommended 40# on each leg).  It is YOUR responsibility and you will be asked to fix if its found to not have enough weight.  We will not be held responsible for any damage due to weather related events or inadequate tent securement.  This is an OUTDOOR EVENT and it is assumed that you are prepared for such and will plan for any weather.  

The managers of the exhibition reserve the right to accept or reject any exhibit where crafts and/or antiques are not in keeping with the festival.  This will be monitored heavily.  Each exhibitor shall be responsible for the conduct at their booth.  Misconduct will not be tolerated.  Retail merchandise is not permitted (unless a retail application was completed and approved by the jury, there is only a limited approved retail vendors allowed).  The decision of the manager, with regard to any product, activity, or dispute shall be final.  Promotion of a product being sold in a booth that produces a noise factor should be demonstrated only for a 15-minute period of time twice an hour.  If electric was requested and paid please bring extra extension cords for ample reach, we are very limited on electric outlets and placement will be made due to that.  Please make prior arrangements for your pets.  This is a PET FREE event.  Security/Staff will enforce this rule (Service Dogs welcome).
